01 · Overview

How does a meeting with public officials and chamber presidents finish on time?

01

Direct Chinese–Turkish simultaneous interpreting keeps the programme on time

At business and public events in Türkiye, most participants prefer to communicate in Turkish, and English proficiency varies greatly from person to person. When only English or Chinese–English interpreting is used, information can be lost in the second relay. Direct simultaneous interpreting between Chinese and Turkish delivers the Chinese speaker's message to the Turkish audience in a single step. This is especially important at launches and forums aimed at persuading people and building trust.

Another reason is time. Large events in Türkiye usually have a packed programme of opening speeches, keynotes, panels and a dinner. Consecutive interpreting nearly doubles the length of every speech, whereas simultaneous interpreting needs no extra time. At events attended by public officials or chamber presidents, finishing the programme on time is also a mark of courtesy.

02

Two weeks ahead: terminology list, titles and equipment testing

Preparation usually begins one to two weeks before the event. First the venue, duration and number of participants are confirmed, then the number of interpreters and equipment specifications are determined. Next, the programme, speeches and presentations are collected; the interpreters prepare a terminology list from them and confirm the correct renderings of guest names, titles and institution names. Turkish institution names are often long, so clarifying them in advance prevents mistakes on stage.

On the day of the event, the interpreters and technical team usually arrive early to test the booths, microphones and headsets, and check the audio feed of videos and music together with the sound desk. Throughout the meeting, two interpreters work in rotation: while one interprets, the other supports by noting figures and proper names. After the event, the terminology list can be handed over on request; it ensures consistent terminology in the promotional materials you prepare later.

03

Last-minute slide changes and fast speakers challenge interpreters

The most common problem is materials being provided too late or presentations being changed at the last minute. A simultaneous interpreter has no chance to stop and look up terms; if technical values, model names and figures have not been seen in advance, accuracy drops noticeably. The second problem is a speaker talking very fast or reading a text quickly, in which case no interpreter can keep up fully. We recommend that speakers talk at a natural pace and pause briefly at important figures.

There are other details that can be overlooked: do the videos to be shown need interpreting, are there enough microphones for the Q&A, and how will online participants listen to the Turkish channel? Hotels and venues in Türkiye usually provide a sound system, but simultaneous interpreting equipment is often rented separately. We list these points one by one at the planning stage and confirm them with you before the event to minimize surprises on site.

02 · Who it is for

For organizers of launches, forums and regional meetings in Türkiye

01

Chinese brands holding product launches

Brands introducing new products to dealers, the press and partners in Türkiye. Launches move fast and feature many speakers; with simultaneous interpreting, Chinese executives speak in Chinese while Turkish attendees hear Turkish instantly. The press Q&A that follows can also continue in simultaneous mode.

02

Organizations attending China–Türkiye forums

Opening speeches and panel sessions at chamber of commerce, association and official events. These events have tight schedules and high-level speakers, so wording must be both accurate and in line with protocol. Simultaneous interpreting covers every session without extending the programme.

03

Chinese-invested companies holding regional meetings

Annual meetings, training and strategy sessions between Chinese headquarters and the Turkish team. These meetings involve dense information such as performance data, product plans and management rules. Simultaneous interpreting lets employees on both sides join the discussion directly instead of listening to summaries.

03 · Scope

Interpreter team, terminology preparation and booth coordination

01

Simultaneous interpreter team

Usually two interpreters work in rotation for each language direction, and the team is expanded for long meetings. Because simultaneous interpreting demands intense concentration, interpreters typically switch every 20–30 minutes. Meanwhile, their colleague supports them by noting down figures and proper names.

02

Pre-meeting terminology

The programme, speeches and presentations are reviewed in advance and a Chinese–Turkish terminology list is prepared. The pronunciation and equivalents of company names, product models and guest names are clarified beforehand. The terminology list can also be handed to you after the event for use in future documents.

03

Equipment coordination

We coordinate the rental and setup of booths, interpreter consoles, receivers and headsets. We recommend the amount of equipment needed based on the venue size and number of participants. If the hotel or venue has its own system, we check its compatibility in advance.

04

On-site technical support

Sound checks before the event, coordination with the sound desk throughout, and on-the-spot troubleshooting. Speakers talking without a microphone, videos with no audio feed and headset batteries running out are common problems. With someone monitoring on site, these are dealt with immediately.

05

Online or hybrid meetings

An interpretation channel on platforms such as Zoom, so in-room and online participants listen at the same time. Online participants can choose the Chinese or Turkish channel themselves on the platform. We recommend a connection test before the actual meeting.

  2. 2

    Plan and quotation

The number of interpreters and the equipment list are determined and a full quotation is provided. Interpreting and equipment costs are shown as separate line items, making your internal approval process easier. Once approved, the interpreters' schedules are reserved.

  3. 3

    Preparation

Materials are gathered, terminology is prepared and, if needed, we speak with the speakers. It is important to send us the latest versions of any presentations changed at the last minute before the event. We prefer to receive the speeches of key guests in advance.

06 · FAQ

Frequently asked questions

What is the difference between simultaneous and consecutive interpreting?

In simultaneous interpreting, the interpretation is delivered through headsets at the same time as the speech, adds no extra time and suits large meetings; in consecutive interpreting, the interpreter speaks when the speaker pauses, which suits small meetings. Simultaneous requires special equipment, while consecutive generally does not. At events with both plenary sessions and small meetings, the two methods can be combined.

Is a booth required?

For large meetings it is usually necessary. For small groups or tours, a portable tour-guide system can be used; we recommend the right option for the setting. Portable systems have poor sound insulation; they suit mobile settings such as factory tours but not long formal meetings.

Can I provide materials at the last minute?

The earlier the materials arrive, the more accurate the interpreting. For technical meetings, we recommend sending speeches and terminology at least a few days in advance. If materials genuinely cannot be provided beforehand, please share at least the programme, the speaker list and a company introduction.

How are headsets distributed to participants?

They are usually handed out at the registration desk in exchange for an ID or business card and collected at the end of the event. To avoid losses, we recommend assigning one or two staff members to distribution and record-keeping. We will let you know the quantity needed and the procedure in advance.

How far in advance should I book simultaneous interpreting?

We generally recommend booking one to two weeks in advance; during trade fair season or busy event months, you should act even earlier. The number of Chinese–Turkish simultaneous interpreters is limited, so reserving their schedules early is important. Equipment rental also takes time to confirm stock and the setup plan.

Can you provide the service if the meeting is outside Istanbul?

Yes, events can also be organized in cities such as Ankara, İzmir and Antalya. Interpreters' travel and accommodation costs are usually charged separately; equipment is sourced locally or from Istanbul. These items are shown clearly in the quotation.

Can the interpretation be recorded as audio or video?

Yes, but the intended use must be stated in advance and the interpreters' consent obtained; in some cases an additional usage fee may apply. If the recording will be published externally, we recommend specifying the scope of use in the contract. Recordings for internal archives only are usually easier to arrange.

Can the interpreter understand a Chinese speaker with an accent?

Our interpreters are familiar with the various regional accents of Mandarin Chinese, but a heavy accent combined with fast speech makes the task harder. Sharing the speech or an audio recording in advance helps the interpreter get used to the speaker's style. If possible, a short conversation with the speaker before the event gives the best results.
